What Are Automated Followups
Automated follow-ups are pre-configured sequences of emails and/or SMS messages that are triggered by specific actions — like a form submission, a missed call, or a new contact being added.
They run in the background 24/7, ensuring no lead falls through the cracks.
You can combine email and SMS in a single workflow for multi-channel engagement.
Create an Automated Followup Workflow
Navigate to Automation > Workflows in the main menu.
Click + Create Workflow.
Choose Start from Scratch or select a pre-built recipe.
Add a Trigger — this is the event that starts the workflow (e.g., Form Submitted, Contact Created, Tag Added).
Add Actions — these are the steps that happen after the trigger fires. Common actions include: Send Email, Send SMS, Wait (add a delay), Add Tag, and Create Task.
Configure each action with your message content, timing, and conditions.
Click Save and then Publish to activate the workflow.
Start simple: a 3-step sequence (immediate thank you → 1-day follow-up → 3-day check-in) is a great starting point for most businesses.
Best Practices for Followup Sequences
Timing matters: Send the first message within minutes of the trigger event. Leads are most engaged right after they take action.
Mix channels: Combine email and SMS for higher response rates. Some people prefer text, others prefer email.
Personalize: Use custom fields and contact data to make messages feel personal, not automated.
Don't overdo it: 3–5 messages over 7–14 days is typically the sweet spot. Too many messages can feel spammy.
Include clear CTAs: Every message should have one clear call-to-action — book a call, reply, visit a page.
Test and iterate: Monitor open rates, click rates, and reply rates. Adjust timing and content based on what works.
Monitor Workflow Performance
Navigate to Automation > Workflows.
Click on your workflow to view performance metrics.
Review enrollment numbers, completion rates, and individual step performance.
Use the data to optimize your sequences over time.
